Full-time employees are eligible for benefits and are classified into various employment categories, as outlined below.
Classified positions are governed by the Virginia Personnel Act. Non-exempt employees are entitled to earn at least the federal minimum wage and are eligible for overtime pay, calculated at one-and-a-half times their hourly rate, for every hour worked beyond a standard 40-hour workweek. The University's FLSA 40-hour workweek runs from Sunday to Saturday. Classified non-exempt employees must submit web time entry timesheets to report actual hours worked and leave time taken for each workday within the pay period.

Classified positions are also governed by the Virginia Personnel Act. To be classified as exempt, both the job duties and salary must meet the criteria set by U.S. Department of Labor regulations. Exempt classified employees are not eligible for overtime pay, though they may accrue compensatory leave in certain situations. These employees are paid a salary on a semi-monthly basis and are required to submit leave reports for any exception (leave) time taken during the pay period.

Administrative Faculty typically hold executive-level leadership positions, such as Vice President, Vice Provost, Dean, or Assistant/Associate Vice President or Dean. Professional Faculty may lead or support essential university functions, including academic, administrative, outreach, athletic, or other programs. The standard contract period for these roles runs from June 25 to June 24.
Administrative and Professional Faculty are paid a salary on a semi-monthly basis and are required to submit monthly leave reports for any exception (leave) time taken during the reporting period, which runs from the 10th of one month to the 9th of the following month.
AP Faculty Handbook [PDF]Teaching and Research (T&R) Faculty include, but are not limited to, Tenured Faculty, Tenure-Track Faculty, Clinical Faculty, and Research Faculty. For payroll purposes, T&R Faculty are classified by their appointment type. Academic year appointments cover the nine-month academic year, from mid-August to mid-May, while some faculty may have calendar year appointments, which extend throughout the year and include provisions for annual leave. Calendar year T&R faculty follow the A&P Faculty Handbook leave policies unless otherwise specified in their contracts.
Academic year faculty receive their contract salary over 24 pay periods, with pay distributed over 12 months. For example, a 9-month faculty member’s salary is earned over 9 months (18 pay periods) but paid out across 12 months (24 pay periods). Academic year faculty do not accrue leave and are not required to submit leave reports.
Calendar year faculty are paid semi-monthly over 24 periods and must submit monthly leave reports for any exception (leave) time taken during the period from the 10th of one month to the 9th of the next.
Teaching and Research Faculty Handbook [PDF]The University maintains a full-service, sworn, and accredited police force. Law enforcement officers are paid semi-monthly and must work at least 168 hours within a 28-day period before becoming eligible for overtime. Officers are required to submit timesheets detailing hours worked and leave time taken.
For faculty, supplemental payments include but are not limited to, intersession teaching, temporary pay for additional duties or projects not covered by regular teaching or administrative contracts, bonuses, administrative stipends, and overload teaching assignments.
For classified positions, supplemental payments may include but are not limited to, bonuses and temporary payments for additional services beyond normal job duties.
In accordance with the Code of Federal Regulations, section 2 CFR § 200, all types of additional compensation not included in the employee's base salary are considered supplemental pay for calculating compensation limits. Faculty members may earn up to 33.33% of their annual salary in supplemental pay. Most supplemental earnings are paid semi-monthly.
Employees may also be eligible for a mobile stipend to cover the business use of their personal cell phones, based on their job responsibilities. Mobile stipends, which may include both pre-tax and taxable portions, are approved by the Division and the Controller's Office and are paid semi-monthly.
Occasionally, relocation assistance may be offered to new hires. This assistance is provided as a lump sum payment, is federally taxable, and is limited to one payment per household. The university does not reimburse employees for actual moving expenses, such as paying common carriers or moving companies. If an employee does not remain employed with the university for 12 months from the hire date, repayment of the relocation stipend may be required.
Additionally, full-time employees may be eligible for certain payouts upon separation from the university or a change in employment classification. These may include leave payouts and contract payouts for academic year faculty's deferred regular pay.
For more information on eligibility for leave payouts, refer to the applicable employee handbook and the Benefits website.
